Internal Competition Rules
The club will run 6 internal competitions each year. These will comprise of four quarterly competitions, all with a open theme, a end of season Annual competition and an Image of the Year competition.
The following rules apply to the club’s internal competitions: –
1.0 Entries
- Members entering work must own the copyright of that work and be able to assert their moral right to be associated with all aspects of the source elements of the work. For the avoidance of doubt, use of images from any other source including, but not limited to, royalty free image banks and clipart are not permitted. Also, images wholly or partially created using ‘Generative Artificial Intelligence’ (AI) are not permitted. “If you haven’t made the input, can you claim the output?” PAGB guidelines: Any importation, whether manual or automated, of all or part of a single image or of a generated image which includes or has been developed from the work of others, means that the resulting content is not entirely the work of the photographer and that the resulting image does not comply with the PAGB General Conditions.
- If an image that has been placed first, second or third in any of the internal competitions, may not be entered into any other club competition. Please respect the spirit of this rule by not entering images that are virtually identical to ones already used.
- Each competition will comprise of four sections: colour prints, monochrome prints, colour PDIs and monochrome PDIs.
- Each member can submit up to three images in each section (this may be varied depended on the number of entries in the section.
2.0 Judging.
- Images submitted will then be judged by all members with each member selecting a first, second and third place, all placed images will go forward towards the end of year ‘Image of the Year’ competition.
- The ‘Image of the Year’ competition will be judged by an external independent judge.
3.0 Titling, Labelling and Preparation of Entries.
Prints for Internal Competitions
- Prints must be mounted. The preferred size for mounts is 400mmx500mm. Mounts measuring 16″x20″ will also be accepted for internal competitions but note that most external competitions require mounts to be 400mmx500mm.
- Any tape on the rear of the mount should be firmly adhered to the mount to prevent damage to other prints.
- There is no restriction on the image size within the mount..
The rear of each print must be labelled with:-
- Competition Number
- A image title.
- The member’s 7-digit membership number
- A preference indicator (1, 2, or 3).

When a digital version of the print is required it should follow the guidelines for digital image naming with _print added. The title on the digital file should be the same as the title of the print. This gives a filename in the format:
Competition Number_title_membership number_preference_print.jpg
For example, the member has three print entries with titles “My best photo”, “A great image” and “Another Image”. If images have to be removed due to the total quota being exceeded (see Total Club Entry section below), the member wants “My best photo” to be retained so this is given a preference number of 1. The files would be named as follows:

Digital Images for Internal Competitions
- For all internal club competitions digital images should be sized to a maximum of 1600×1200 pixels. The recommended resolution is 72ppi. The colour space should be sRGB as other colour spaces may project the colours differently.
- A “maximum of 1600×1200 pixels” means that images should be no wider than 1600 pixels and no taller than 1200 pixels but do not have to fit both these dimensions exactly. For example, a 16×9 aspect ratio image would be sized to 1600×900 while 1200×1200 would be used for a square image

- Images should be saved using the JPEG format with file extension .jpg.
The filename MUST be made up of four pieces of information with an underscore between them:

This gives a filename in the format:
- Competition number
- The image title.
- The member’s 7-digit membership number
- A preference indicator (1, 2, or 3).

For example, the member whose membership number is MTCCXXX has three digital entries with titles “My Best Photo”, “A Great Image” and “Another Image. The files would be named as follows:-

An underscore must not be used within the title, only to separate the title from the membership number and preference number. Also, please try to avoid using multiple consecutive spaces and leading or trailing spaces anywhere in the filename. Ideally the title should not contain these characters (e.g. use a dash instead of a comma):
. , ! ' [full stop, comma, exclamation, apostrophe]
Finally, please remember to check you have the correct membership number in your filename and that there are no typos and spelling mistakes before submitting the image 🙂.
Image colour space
External competitions sometimes specify a setting for image colour space.
The colour space defines the way that colours are described within an image. The most common colour spaces in digital photography are sRGB, Adobe RGB and ProPhoto RGB. Projectors usually work in the sRGB colour space so images in a different colour space will be converted during the projection process and may not appear exactly as intended. This is why external competitions nearly always stipulate that images should be in the sRGB colour space.
To retain full control of the way your images will appear on projection it is recommended that you save the image in the sRGB colour space (i.e. that you control the conversion process with your image editing software). Images submitted in other colour spaces will not be modified before being sent to judges or for external competitions. Images projected during a club judging evening will be converted to the sRGB colour space, if required, prior to projection.
4.0 Total number of entries for Internal Competition
As we hold both the colour and Monochrome Competitions on the same evening and given the limited time (2Hr) to view and select the winning images the total number of print and digital entries from all members in any given Internal Competition, will usually not be allowed to exceed 40 in colour section and 40 in the monochrome section.
If more than 40 entries are received, or the judge indicates they are unwilling to accept the total number of entries, the Competition Secretary will need to remove some entries from the total. To allow for this possibility, each print and digital entry MUST include a preference indicator 1, 2 or 3. If it is necessary to remove entries then digital entries marked 3 will be removed first.
5.0 Annual Panel Competition
The Annual Panel competition comprises of a cohesive set of 4 print linked by a strong theme, story, or visual style, judged as a single body of work rather than as individual images. The panel will requiring consistent mounting, colour and tonality, and visual flow to tell a deeper narrative or to able top explore the images subject comprehensively.
Each Member are allowed to submit one panel of four images.
The winner of Annual Panel Competition will receive the Glan Howells Memorial Trophy which they will hold for a period of one year. The Trophy must be returned prior to the following year’s competition.
6.0 Annual Competition
The Annual Competition shall comprise of the following six categories:-
- Action
- Close Up/Tabletop
- Landscape
- Miscellaneous Pictorial
- Nature History, (for PAGB definition of nature click HERE)
- People
A member is allowed to enter a maximum 1 printed image (colour or monochrome) and 1 Projected Digital Image (colour or monochrome) making a maximum of 12 images, i.e. 1 print and 1 PDI in each category.
The Annual Competition shall be judged by an external judge.
Images can not be entered in the Annual Competition again for following three years.
7.0 Image of the Year Competition
The Image of the Year Competition shall comprise of all images that were selected in 1st, 2nd, and 3rd place in the club’s four quarterly competitions.
The winner of Image of the Year Competition will receive the Peter Harman Memorial Trophy which they will hold for a period of one year. The Trophy must be returned prior to the following year’s competition.
The Image of the Year Competition shall be judged by an external judge.
The following awards will be made in the Image of the Year Competition:-
- Best Colour Print of the Year
- Best Monochrome Print of the Year
- Best Colour PDI of the Year
- Best Monochrome PDI of the Year
- Best Overall Image of the Year (The winner will be chosen from the winning images from categories 1, 2, 3, and 4 above.
8.0 Addition Information
Any photograph entered may be exhibited or used elsewhere by the Club without further permission being sought from the photographer.
If the club do for what reason use external judges, please always treat visiting judges (and presenters) with the utmost respect. They are honoured guests who have been invited to give their opinions. Under no circumstances should a member challenge a decision or make derogatory comments. Any such outbursts will be regarded as a serious breach of club etiquette and could be viewed as bringing the club into disrepute.
Submission of an entry implies acceptance of these rules. Photographs that do not comply may be refused admission without notice.
